A useful first conversation about freight starts with the goods, the route and the dates that matter. You do not need a polished logistics brief, but you do need to distinguish confirmed facts from details that are still being worked out.

Start with a shipment snapshot
- Pickup and delivery addresses or ZIP codes.
- Description of the goods and number of pallets.
- Loaded dimensions and weight, including packaging.
- Earliest ready time and requested delivery timing.
- Loading and unloading access at both ends.
- Any special conditions, restrictions or appointment requirements.
If measurements or dates are provisional, say so. An initial conversation can begin with incomplete information, but the final arrangement needs the actual shipment details. Tell the team about oversized, regulated or temperature-sensitive goods rather than assuming they can be accommodated.
Explain what the deadline means
“As soon as possible” leaves room for different interpretations. State whether the freight is ready now, when the receiving location is open and whether a missed date would affect an appointment or another business activity.

Before proceeding, make sure the proposal describes the same shipment you intend to send. Ask about equipment, access services, pickup arrangements, expected transit and any assumptions that could change the quoted scope.
